Grouper Conversation Outlook

This article explains how to view your Outlook email messages by conversation thread so you don't have to search for all the messages that belong to a conversation. Outlook collects messages in a conversation from multiple days and folders, then it displays them all together.

In the Messages group, select Show as Conversations. Or, to apply conversation view to all your Outlook folders immediately, select All mailboxes.

In the Messages group, select Show as Conversations. To see the other messages in the conversation, select the arrow to expand the thread.

When this option is off, threads are shown as a flat list. Outlook can group conversations by thread only when the emails in a folder are sorted by date.

If the messages are arranged another way, Show as Conversations is grayed out and unavailable to check. Your emails are arranged in date order and you can view messages as conversation threads.

Mail for Windows 10 and Outlook group conversations, so that you view related emails in one thread. Arrange messages in conversations in Windows Mail or turn the feature off, if desired.

To turn off grouped conversations, go to the Organization section and select Individual Messages. In Microsoft Outlook, the settings for conversations are on the View tab.

Select the View tab and choose Conversation Settings in the Messages group from any folder in Outlook. Use Classic Indented View Classic shows messages in the conversation indented based on their position within the conversation.

Having a group conversation in Microsoft 365 is similar to having an email thread. Members who follow the group also receive conversations in their personal inbox.

Note: Due to a change in the way unread message counts in Groups are calculated you may see the unread count next to the group name suddenly increase dramatically. To reset that back to zero just right-click on each affected group and select “Mark all as read”.

It shouldn't reoccur and unread counts should behave as expected from that point forward. Select New Conversation in the upper left corner of the ribbon.

Notice the group's alias is automatically added in the To line. Type your message, add any attachments, and select Send.

Tip: You can also email a group from your personal inbox. To reply to the group, either right-click the message and choose Reply all, or type in the Add a message box in the reading pane and select Send.

Tip: If you like the message, select the icon to show your support. Email organization is one of the more fundamental goals with any structured time management plan, especially one that’s striving to reach the lofty goal of Inbox Zero.

I make no promises that grouping your conversations will help you reach it, but it certainly can’t hurt. Grouping your conversations based on the sender is a good way to condense a lot of conversations into one larger chain, to save space and to recognize who you’re corresponding with the most.

Gmail does some conversation threading on its own, but it’s based on subject line in and reply chains, not on sender. A new sender sending you something with a duplicate subject line will be its own thread, as well.

Maybe it’s messages from a coworker and you want their information on hand for easy reference. If you typed the query into the search bar, click the triangle drop-down for advanced options.

In either case, you should be presented with a box that has information for an advanced search in it. You can also use a bunch of advanced filter options here if you would prefer to only pull out the ones with specific subject lines, specific size attachments, or other qualifications if you so desire.

Create a label that is descriptive of the sender or other purpose of the grouping, such as “boss emails” or “Kickstarter Updates” or whatever you prefer. If you don’t check this box, your label will only apply to emails from this point forward.

Once that option is checked, click create filter. You will now have the label in the left-hand panel, alongside your inbox and other categories.

You will need to go through this process for each individual sender you want to have a label or group for. Outlook has its own grouping rules for conversations, similar to how Gmail handles them.

Outlooks criteria are by date as a default, but you can use different arrangements and create custom groupings fairly easily. The default arrangements you can choose are based on time, and are Today, Yesterday, Last Week, Last Month, and Older.

You can also choose Categories, Size, Subject, and Importance, but none of those are based on sender. Click the More drop-down to expand this, and find the Show in Groups checkbox.

You don’t have to do this for every sender like you do with Gmail; it just sorts everything in this one view menu. If you’re still using an older version of Outlook, 2007 or earlier, you can view this page for updated instructions.

Mac Mail is in many ways a high quality email client, but it is quite lacking in a few areas, one of which is convenience features. Apple has long taken a “my way or the highway” attitude towards various hardware and software issues, and it is only their willingness to allow third party apps that keeps things like Mail properly afloat.

If your email matches the sender, it should be forwarded to the mailbox. The second option you have is to use a third party app to organize your email for you.

It’s more reminiscent of a customer relations portal than an email client in design, and that’s okay. Of course, you have access to dozens of apps, not just Unbox, so maybe it’s worth the money for everything else you get as well.

It’s a plugin rather than a replacement client, and it links right into your existing mailbox. It’s an app that is free to download and use as an unrestricted trial, and can be purchased for a simple one-time license that costs $19.

Again, as I mentioned, there are plenty of other apps and plugins that can work with Mac Mail to sort your inbox. Mozilla’s Thunderbird might not be one of the top of the line email clients, but it has a dedicated fan base and is still one of the more popular options out there, at least in part because it’s free and open source.

The default conversation sorting in Thunderbird is by date, but as usual, that can get pretty overwhelming when you log in and see a crush of new messages on top of the older messages you never got to, stretching back into antiquity. Fortunately, it’s actually pretty easy to sort your messages by sender and then group them up.

This will sort the folder by the sender, with individual emails still listed. Once more go back into the View menu, and click the Sort By section again, and then look all the way at the bottom.

Click it to check it, and it will group your emails by your chosen sort option. As more and more of our personal and business conversations take place by email, our inboxes are starting to get pretty cluttered.

Aside from leading to Outlook file size bloat (which you can partially combat by learning how to delete items on exit in Outlook), it just means that there are more and more messages in your folders that you do not need, or that are preventing you from quickly finding your important messages. But you can make an effort to resolve this problem by learning how to group your messages by conversation in Outlook 2010.

Note that applying this sorting method to your inbox will not remove or affect the messages that are stored in your Outlook folders. And if you don’t like how it changes your display options, you can easily turn it off and return to the default folder view in Outlook.

When you sort by conversation, you can find multiple messages from different people on the same subject. That way you can view them all together and not miss an important response.

Click Arrange by to show choices to filter your inbox, and then click Conversation. Conversation threading will apply to those emails coming from Hotmail.

Gmail has no issues grouping messages forwarded or imported from other inboxes. I was looking to switch form Gmail, but the fact that my old imported emails are not grouped by conversation is very annoying.
